Reservation Policy

At Welcome Camino we are committed to ensuring that your booking experience is smooth and transparent. The following reservation policy outlines the terms and conditions that apply when you book a travel package with us.

​

1. Booking Process:

​

Reservations can be made through our website, by phone, or by email. Once you have selected the trip you wish to take, you will receive a confirmation of your reservation along with all the essential information related to it. This confirmation constitutes your binding acceptance of the terms of the trip.

 

2. Payment Conditions:

​

Payment for the trip will be made in two payments:

​

  • Deposit: A deposit of 50% of the total payment is required to guarantee your reservation. The amount of the deposit and the payment schedule will be clearly communicated during the booking process.

  • Final Payment: The final payment will be the remaining 50%. It must be made 15 days before the start of the trip. If the final payment is not made on time, the reservation may be canceled.

 

3. Changes to the Reservation:

 

If you need to make changes to your reservation, please contact us as soon as possible. We will do our best to accommodate your request, but changes may be subject to availability and incur additional charges.

 

4. Provided Information:

As part of our commitment to transparency, you will receive detailed pre-contractual information about your travel package. This includes:

​

  • The total price of the package, including taxes and fees.

  • Payment schedules and methods.

  • Information about the duration and itinerary of the trip.

  • Details about accommodation and transportation.

  • General information about visa requirements, if applicable.

​

This information will be binding and will be included in the final contract. We ensure that all terms are clear, understandable, and available in a durable format.

​

5. Confirmation of the Reservation:

​

Once your deposit is received, you will receive formal confirmation of your reservation, which will include all relevant details of your travel package. This confirmation will include your reservation number, payment details, and instructions on what to do next.

​

6. Legal Framework:

​

This reservation policy is governed by the provisions of Royal Decree-Law 23/2018, particularly those set forth in Book Four: Combined Trips and Linked Travel Services. By legal imperative:

​

  • We are responsible for the proper execution of all travel services included in the contract.

  • We will provide you with all necessary assistance in case of difficulty during your trip.

​

7. Customer Rights and Protection:

​

Your rights as a traveler are protected by Spanish legislation, specifically concerning:

 

The right to receive accurate information before booking.

The right to receive a copy of the contract and all relevant documents.

The right to legal recourse in case of non-compliance or issues with the travel package.

 

8. Reservation Transfer Clause

 

The client may transfer their travel contract to another person who meets all the requirements for that trip, as long as:

 

  • Prior Notification: The original client must notify Welcome Camino in writing about the transfer, with at least 7 calendar days before the start date of the trip.

  • Acceptance of the Conditions: The person to whom the reservation is transferred must expressly accept all the conditions of the travel contract, including the payment terms and obligations arising from it.

  • Additional Costs: The transferring client and the assignee will be jointly responsible for payment of any additional costs that the transfer may incur. Welcome Camino will inform the original client of such costs, if any, before the transfer is made.

  • Compliance with Requirements: The person receiving the transfer must meet all the necessary requirements and formalities to participate in the trip, such as visas, identification documentation, insurance, among others.

Cancellation & Refunds Policy

​

At Welcome Camino, we are committed to providing you with maximum transparency and protection when planning your experience on the Camino de Santiago. Below, we detail our cancellation policy.

​

This cancellation policy is governed by the provisions of Royal Decree-Law 23/2018, particularly those outlined in Book Four: Combined Trips and Linked Travel Services.

​

1. Right to Cancel:

​

Travelers have the right to cancel their reservation at any time before the start of the trip, taking into account the cancellation penalties listed below. To cancel your reservation, please contact us as soon as possible using the contact information provided at the end of this document.

​

2. Cancellation Penalties:

​

  • Cancellation more than 30 days in advance: Full refund of the amount paid, minus a 20% administrative fee.

  • Cancellation between 30 and 15 days before the start of the trip: Refund of 50% of the amount paid.

  • Cancellation less than 15 days in advance: No refund will be issued, except in cases of force majeure or unavoidable and extraordinary circumstances.

3. Extraordinary Circumstances and Force Majeure:

​

In the event of unavoidable and extraordinary circumstances (for example, natural disasters, armed conflicts) that significantly affect the execution of the combined trip or transport to the destination, the traveler has the right to cancel the contract without penalty and receive a full refund.

​

4. Modifications by the Organizer:

​

In the case of significant modifications that substantially impact the main characteristics of the trip or a price increase exceeding 8%:

 

  • Notification: We will inform you as soon as possible.

  • Traveler Options: You will have the right to accept the modifications, cancel the contract without penalty and receive a full refund, or accept an alternative trip offered by us of equivalent or superior quality.

5. Information Obligations and Content of the Contract:

​

Before formalizing the contract, we will provide all essential information about the combined trip, including itineraries, included services, prices, and cancellation policies. The combined travel contract will be presented in a durable and accessible format for the traveler.

​

6. Refunds:

​

  • Refund Period: Refunds will be made within a maximum period of 14 calendar days from the date of cancellation.

  • Full Refund or Alternative: In the case of cancellation on our part, you will receive a full refund or be offered an alternative trip of equivalent or superior quality.

​

7. Gift Cards & discounts

 

  • No Return or refund: Gift Cards bought cannot be returned or refunded.

​

  • When making a purchase with a discount, 50% of the total price will need to be deposited in order to make a reservation.

​

  • When making a purchase for a gift card, 100% of the money shall have to be deposited.​

​

  •  If the amount on the gift card exceeds the final amount to be paid, then the remaining amount will be forfeited. 

​

  • ​If the gift card is not redeemed within the stipulated 12 month validity period, then the money shall be forfeited. 

​

  • Welcome Camino will not be liable for any loss (including, without limitation, direct, indirect, special or consequential loss or loss of profits) expense or damage which is suffered or sustained in connection with the Gift Card, including any loss incurred as a result of any delay and/or failure to perform any obligation to the card holder that is caused by any events beyond Welcome Camino's control, which includes: i. technical problems of any kind that may limit or prevent any person from redeeming the Gift Card; ii. any loss or damage arising from or in connection with the allocation or enjoyment of the discount; iii. any misuse of the Gift Card due to the loss of any such confidential details; (iv) any event that causes the promotion to be disrupted or corrupted or that may lead to loss or damage to the card holder.

  • The card holder hereby agrees to indemnify and keep Welcome Camino harmless against all damages, liabilities, costs, expenses, claims, suits and proceedings that may be suffered by the Welcome Camino as a consequence of (i) violation of the terms and conditions by the cardholder; (ii) violation of applicable laws; (iii) any action or inaction resulting from wilful misconduct or negligence on the card holder’s part. The card holder agrees that these terms shall be governed by and construed in accordance with the relevant laws of whatever region applicable and the relevant courts shall have exclusive jurisdiction to decide over any controversy arising in relation to this Gift Card.

​

8. Coverage of Additional Costs:

​

If the return of the traveler cannot be guaranteed due to unavoidable and extraordinary circumstances, we will cover the necessary accommodation costs for a maximum of three nights. This limit will not apply to persons with reduced mobility, pregnant women, or specially protected groups.

​

9. Organizer's Responsibility:

​

As organizers, we are responsible for the proper execution of all travel services included in the contract, regardless of whether these services are provided directly by us or by other providers. In case of any non-conformity in the provision of services, the traveler has the right to request a price reduction and/or appropriate compensation.

​

10. Cancellation Clause by the Organizer

​

Right to Cancel by the Organizer: As organizers, we reserve the right to cancel the travel contract and refund the traveler all payments made, without obligation to offer additional compensation, under the following circumstances:

​

a) Insufficient Minimum Number of Participants:

 

We reserve the right to cancel the trip if, where applicable, the number of registered participants is below the minimum number specified in the contract. In such cases, the cancellation will be notified to the traveler within the following time frame:

 

  • Twenty calendar days before the start of the trip, if the trip has a duration of more than six days.

  • Seven calendar days before the start of the trip, if the trip has a duration of between two and six days.

  • Forty-eight hours before the start of the trip, if the trip has a duration of less than two days.

 

b) Unavoidable and Extraordinary Circumstances: We reserve the right to cancel the contract if we are unable to execute it due to unavoidable and extraordinary circumstances (for example, natural disasters, armed conflicts, etc.). In this case, the cancellation will be notified to the traveler without undue delay before the start of the combined trip.

Refund:

 

In any of the cases mentioned, we will refund the traveler all payments made within a maximum period of 14 calendar days from the notification of cancellation.
